Overview

Fisetra is an asset management platform. It keeps a single, reliable record of everything your company owns — where each item is, who is responsible for it, what it is worth today, and every change it has been through.

Most work in Fisetra follows one pattern: you record a change as a document, someone approves it, and only then does the asset register update. That keeps the register trustworthy, because nothing changes without a trail.

What you can do

AreaWhat it covers
AssetThe register of every asset, with its purchase data, location, responsible person, attachments, accessories and full history

Monitoring and MaintenanceScheduled and one-off maintenance, plus Self-Monitoring condition checks

ReportTransaction, maintenance and asset history reports, with export
Master DataThe reference lists everything else is built on
ConfigurationCompany profile, numbering, email templates, custom fields, users and access

Companies

Everything in Fisetra belongs to a company. One account can belong to several companies — useful if you work across a group — but you always work inside one at a time.

You pick your company when you sign in, and you can switch at any time from the user menu in the top right. Your permissions, your data and even the logo you see are all specific to the company you are currently in.

See Getting started for signing in and choosing a company.

Who can do what

Fisetra does not have a fixed list of roles. Your company defines its own roles, and each role is a set of individual capabilities — "can create movement documents", "can edit the company profile", and so on. Two companies using Fisetra can have completely different roles with the same names.

This has two practical effects:

  • You only see what you can use. Menu entries, buttons and even tabs on the asset detail page are hidden when your role does not include them. If a screen described in this guide is not in your menu, your role does not include it — ask your administrator.
  • Capability and visibility are separate. Your role decides what you can do. A separate setting decides which assets you can see, based on the locations, departments and categories you are assigned to.

WARNING

A new user who has not been assigned any location, department or category will see an empty asset list, even with a generous role. This is the single most common cause of "Fisetra looks empty" and is fixed by your administrator, not by you.

Both are explained in Users and access.

The document flow

Every transaction document — an addition, a movement, a disposal, a stock opname — moves through the same states.

  1. Create the document and add its assets
  2. Submit it for approval
  3. An approver approves or asks for a fix
  4. Approved: the asset register updates
StatusWhat it means
DRAFTBeing prepared. Still editable, and the only status that can be voided
PENDINGWaiting for approval. No longer editable
APPROVEDApproved. The change has been written to the asset register
VOIDCancelled before submission. Nothing was changed

Two details are worth knowing early, because they surprise people:

  • A rejected document comes back to you as a draft. It does not sit in a "rejected" state. You edit it and send it again with Confirm Fix.
  • Only a draft can be voided. Once a document is pending, you cannot cancel it yourself — an approver has to reject it first.

The full explanation lives in Document basics, and every transaction chapter links back to it rather than repeating it.

Working without an account

Some people never sign in to Fisetra at all. Approvers, maintenance contacts and the people who report on asset condition can receive an email with a secure link that opens a single page where they do their one task and nothing else.

That link is personal and single-use. See Approvals and Self-Monitoring.
